We prioritize creative thinking and take pride in what we do. We re growing, and seeking a Senior Creative Project Manager in the Client Services department.

What you ll do

The Senior Creative Project Manager helps manage our employees activity on client work in the agency. This role is responsible for making recommendations for creative resource assignments, ensuring the best talent is working on the most appropriate projects. The Senior Creative Project Manager actively keeps track of who s working on what across all agency departments, what their billable utilization is, if they re swamped or not busy enough. This role works proactively with Heat s finance and account services team to understand resourcing needs and keep talent assignments aligned with financial forecasting. The Senior Creative Project Manager is in charge of weekly updates to Heat s Master Project Hotsheet, liaison with Deloitte resourcing, distribution of the assignments to Heat department leads, and leading weekly meetings with our account teams to review the pipeline of client work. This role is also responsible for sourcing, onboarding and managing freelance resources as needed.

Personality will be key, as this role serves as the go-to person for resourcing needs and helps diffuse stress when people are feeling overloaded. We re looking for someone who s ultra-organized and has the poise and presence to work with management and staff from all departments at our agency. At times, this person may need to be a bit of a cheerleader for creative teams and be able to talk with them about assignments from the best possible perspective while maintaining a keen sense for what s best for the agency. Responsibilities include:

Creative Management

Assigning creative teams to all projects based on experience level, schedule, creative fit and budget.

Creating and maintaining workload hot sheets, sharing with the Creative leads.

Holding weekly pipeline meetings with accounts and producers to review job status and creative resourcing needs.

Alerting Director of Talent for recruiting full-time staffing needs; and assist in the review and recruitment of creative talent

Planning and leading weekly creative department meetings and quarterly outings

Meeting with ECD, GCD and CD s on a monthly basis to discuss creative department updates and work through any issues.

Understanding creative teams workloads, ensuring they re not being stretched beyond a reasonable level of

Understand each creative s strengths in order to appropriately match project briefs to creative skillsets

Be a sounding board to hear employees needs and/or concerns; interface with management/HR to ensure that employees concerns are being anticipated and handled appropriately

Agency Resourcing

Maintaining Master Project Hotsheet for creatives, strategists, producers and account services on a weekly basis, distributing to department leads and to Deloitte resourcing

Point of contact for PTO requests for all staff, maintaining the agency PTO calendar

Anticipating freelance needs ahead of time and manage the sourcing, on-boarding, and budget based on the project.

Maintaining Heat s freelance resource database.

Liaison with account and creative leads as needed to ensure that projects are accounted for and adequately staffed.



4 years agency experience in a resourcing management or project management role

Solid understanding of the creative process

Proficient in excel, specifically data management and pivot tables

Ability to travel up to 30%


Bachelor s degree preferred

Organized, personable, multi-tasker and problem solver.

Pro-active, anticipating future needs, always one step ahead

Inspirational, passionate about motivating others and compassionate with ability to be assertive

Resourceful; good at seeking out solutions on the fly and enjoys creating order from disarray

Strong and clear communicator able to handle and resolve a range of resourcing-related issues
