What you ll do

The Business Affairs Representative at Heat works directly with creative teams, producers, account management, and clients; and reports in to the Business Affairs Director. They are the in-house support to the Business Affairs Director and manager for a handful of client s business affairs, legal and business management practices. This role demands problem solving at its best, protecting the agency s vision equal to our client s endeavors. In your role, you will focus on a few areas of responsibilities:


  • Manage entire project from concept to wrap report and maintain line of sight into all facets of production including thinking ahead on project/estimate/legal needs, understanding talent process, etc.

  • Lead on music licensing outreach to music houses, finalization of music agreements, work with Music Sups to understand project needs and draft deal memos and agreements, assist producers with questions as they run musicology reports

  • Proactively provide talent guidelines (including SAG guidelines when applicable) and legal info to Production and Creative in order to better inform creative path testimonial/legal one sheets, demo practices, minor or stunt guidelines, etc.

  • Oversee or handle all talent related items in production (including but not limited to casting director questions, NDA s with agents/confidentiality, contracts, sessions/payments, final talent reports, if SAG: holding fees, outgrades/downgrades, T&R)

  • Manage third party licensing research/outreach/negotiation/contract; or determine what portions of such are provided by production company (apps/developer outreach, brand/location/prop/wardrobe clearance)


  • Act as main liaison with Legal; manage all legal correspondence (includes applying creative filter to help provide POV on production solutions/legal lines, asking Legal the right questions, sending all scripts and edits, wardrobe, etc.)

  • Read and understand legal T&C s and working knowledge of contracts (NDA s, music template agreements, exclusivity, term/deal specs); review all agreements to ensure compliance with any Legal changes; understanding of what changes are acceptable

  • Work with Deloitte Attorneys and outside counsel as needed on trademark requests

  • Responsible for assisting in the training of Associates and Coordinators as team grows


  • Act as main liaison/maintain daily communication account and production

  • Help identify overarching issues and work with Director to implement processes to improve efficiencies.

  • Maintain professionalism in all aspects of job



  • 2 years business affairs experience at a creative agency

  • Thorough knowledge of SAG rules and rates

  • Knowledge about NDA process

  • An understanding of music licensing process, all the rights involved in a track (synch master, AFM musicians, SAG singers, performance rights societies, etc)

  • An understanding of copyright, right to publicity, trademark, and patents in advertising use.

  • Detailed knowledge of talent estimating/ballparks/forecasting

  • Experience with celebrity acquisition

  • General understanding of advertising law


  • Comfortable and capable of performing all Associate role tasks/responsibilities

  • A problem solver who knows how to think critically and escalate conversations accordingly

  • Ability to listen and understand other POV s in order to determine appropriate next steps/response

  • An effective communicator (both within team and across depts.)

  • Able to effectively prioritize responsibilities and tasks

  • Understanding of sports a plus
