And our culture of innovation means your ideas on how to improve our business and your clients will be heard.Position Summary:Professionally greet and direct all visitorsIssue guest passes in conjunction with internal staff and Building SecurityPromptly, accurately, professionally and courteously receives 100% of all telephone calls and visitors at front deskProvide accurate responses to inquiries and relay messagesAdept at using all features of a Nortel telephone system and voice mailPlace/transfer both domestic and international calls as appropriateEnsure the reception station is staffed 100% of the time and work closely with backups to ensure continued high level of supportAssist in coordinating reservations for all active and reverse hotelers who are assigned to or are visiting the office, working closely with the Office Manager and Hoteling CoordinatorDispense and inventory parking validations as necessary and appropriateRegularly report findings to provide an on-going evaluation of the position and contribute ideas for process improvementGenerate daily/weekly system reports required to effectively manage the responsibilities of the positionReview and reconcile weekly/monthly operational reportsCompile data for monthly reportsAssist with meeting services support, including reservations catering and confirmationsWork with Office Manager to develop creative solutions to challenges and issues that ariseIdentify, prioritize and resolve issues in a pro-active mannerWork on special projects and other duties as needed and directed by Office ManagerReport to work regularly and on timeAssist with developing standard operating procedures for the local officeQualificationsHigh School Diploma and 1-3 years relevant experience in a corporate office environmentAbility to maintain poise and professionalism in fast-paced environmentExcellent verbal and written communication skillsExcellent customer service skills and the ability to interface with all levels of staff and managementGood decision-making skillsAbility to utilize standard database softwareFamiliarity with Microsoft Office software, particularly Word, Outlook and ExcelFlexibility to work in conjunction with othersService-oriented demeanorPositive, professional attitude and presence with the ability to interact with many levels both inside and outside of the organizationConsistently contribute as a team playerOther duties as assignedMust have flexibility to work overtime as required
